Here at Leeds we use a booking system which is controlled and maintained by software known as SAP Training and Events Management. Events are created in this system and by ticking a box the information is then advertised on the University's webpages in the same way as our staff development unit advertise and book their training courses. The webpages contain a search engine used to look for courses available, you can link to a saved search to make booking direct from your website easier. Once a student looks at a course there is an online booking form available and once completed the form is sent to a mailbox of your choice.

So the system is not fully automated but does make life much easier than using email. It doesn't stop lots more students wanting to sign up to workshops than there are spaces available, but the cap you put on your sessions for number of attendees means it automatically shows as fully booked once the forms have been processed into SAP TEM.

I've started using the 'Sign-up' facility on our VLE (Blackboard) for exactly this purpose. Students seem to find it straightforward to use, once they've managed to self-enrol on the Study Advice Organisation, and you can limit numbers and include a reserve list. I haven't tried setting it up to send automated information yet.
What I'd be interested in is whether anyone is using a facility that allows students to self-book one-to-one sessions, as we are looking for ways to reduce the amount of admin hours spent on this.

Subject: Workshop bookings
Does anyone have an electronic solution for study skills workshop bookings? We are finding managing bookings and cancellations manually (using email) is becoming non-sustainable and inefficient. For example, we advertised a critical thinking workshop earlier this year with limited places and had over 400 applications. We would like students to be able to make their own bookings and receive automated confirmation.
Any ideas anyone?
