We take the view that subjective comments without substance are wholly
unprofessional and should not be entered onto the student records
system, or indeed into any system at all (manual or electronic).

If a comment doesn't have a basis in fact, it is unnecessary. If there
is factual information to be recorded (eg if student was rude/abusive or
if there was a suspicion of false information on the application form)
then there will be no cause for complaint if the information becomes
known to the student (which they will be entitled to under DPA/FOI).
As with most of these things, I find it helpful to look at it from the
student's perspective and consider how you would feel if someone was
keeping ungrounded remarks about you somewhere.

Subject: [data-protection] Subjective comments on a students record
With the increased use of our student record system in the college,
staff are wanting to put down subjective comments about student
behaviour. They want to 'warn' other staff so they consider future
applications more carefully. Something doesn't ring true with it and my
thoughts go towards a DPA request for personal details that may open us
up to litigation of bias or inequity.
How do other organisations deal with this? Are there any implications of
letting staff enter free-for-all comments that aren't monitored?
