Surely these numbers should be provided to the head and deputy of the
department or the senior top few people only for each area. That way,
they are available in a business continuity situation but without an
undue level of access by other staff or the need to refer to HR to
obtain them.
We work this way. For example, in my Department, the top 5 managers
have all the contact information for this team, but no other area. This
is enough people to cover for absence at the time of an event but not so
many that people start having a free for all with calling people after
hours for free legal advice on their kitchens etc.
I would point out though that the provision of the information for such
purposes is voluntary. Although done like this, no one has ever
objected, that I know of.

Subject: [data-protection] Collecting staff phone numbers
Apologies if this has been previously covered but I am a relative
newcomer to this list.
Our head of department has requested all staff to provide home and
mobile phone numbers to be held centrally. Currently our HR department
have all personal information and we can only access that in an
emergency. The stated reason for this request is to assist with business
continuity planning.
Some staff have asked if we can do this and as I am not sure I thought I
would ask the experts.
