The only reason that I have advised 6 months as a time limit to keep
unsuccessful candidates personal data is for any complaints about race or
sex discrimination in the interview process some instances can be brought
before an employment tribunal within 3 months minus a day from the act
complained of i.e. the interview, however if the case (however unlikely) is
brought before a County and sheriff court deadlines for other cases: six
months less one day from the date of the incident you are complaining about.
I personally couldn't see when this type of court would be used by the
personnel section inform me that it could happen.

You have no relationship with an unsuccessful candidate, so you don't need
to retain the form for longer than is necessary to allow them to query the
process, and for you to pull out the (depersonalised) monitoring data. Three
months should be
enough.

Dear Colleagues,
I would be interested to hear what other institutions do with
regard to the retention of (unsuccessful) job applicants' personal
data, particular the Equal Opportunities sensitive data. I'm told
that for reporting/statistical purposes the latter has to be
retained, but for how long do other institutions retain this in
an identifiable format (i.e. with name/DoB/ref no. data attached,
NOT anonymised data)?
Thank you.
Best wishes,
Adrian
