Thank you to all those who have responded both on- and off-list
to my query about the retention of job application data.
The draft code of practice from the OIC suggests:
"Do not keep records for longer than
- applicants that are not shortlisted; 4 months from the date on
which applicants are informed of this;
- applicants that are shortlisted; 4 months from the date on
which applicants are informed of the appointment decision."
On the question of the sensitive personal data retained for equal
opportunities monitoring purposes, I would have thought that this
must be totally anonymised in line with the same time scales set out
above, if it is to be retained at all.
Whatever the policy of a particular organisation, the important
point is that the unsuccessful applicants must be informed of what
data will be held, and for how long, and for what purposes. And
the length of time must of course be justifiable!
