This e-mail was sent to all staff from our HR Manager. Any comments?
NOTE TO ALL STAFF AND MEMBERS
USE OF COUNCIL EMAIL FACILITY
As you are aware, the Council's policy allows staff to utilise the email
facility for occasional and reasonable personal use. You should also be
aware that the Council's Email and Internet Policy states that emails may be
inspected by the Council at any time and without notice.
The IT Unit have recently upgraded their email monitoring software. This
new software has the potential to check all email attachments for
inappropriate content.
From 8 July 2002, any email highlighted by the software as possibly having
inappropriate content will be opened and examined.
It is accepted that anyone on email has limited control over what they
receive on an unsolicited basis and it is not proposed that any action be
taken against anyone receiving such email. You can, nevertheless, take the
following simple steps to minimise the problem:
1. Take care when giving out your email address.
2. Ensure that friends and colleagues are aware that you do not want to
receive offensive, vulgar or other inappropriate emails.
3. If you receive such an email delete it immediately and delete it
from your "deleted" folder. Never be tempted to send it on to other friends
and colleagues. Remember it may be highlighted by the filtering software.
Tell the sender you do not to send you any similar emails in future.
4. Familiarise yourself with the email and internet policy which can be
accessed through Public Folders/All Public Folders/TC&CE/Personnel/Personnel
Policies .
I must stress that there is no intention to pry into peoples personal emails
but the Council has a responsibility to ensure that the system is not being
used for illegal or inappropriate transmission of emails. The Council
reserves the right to monitor the use of the system.
If the current arrangement for staff access to the Council's system for
occasional and reasonable personal use is to be maintained it is in
everyone's interest to ensure that the facility is not abused.
Such misuse of the system and failure to adhere to the Internet and Email
Policy may lead to disciplinary action.
