I am investigating a complaint from a subject that he keeps receiving emails despite telling us several times over two years that he didn't want any more.
Enquiries reveal we have an outlook distro group of about 500 names. He is no longer on that group although I am unable to verify when he was removed.
Two possibilities have been suggested:
1. Users have autocomplete switched on. I have seen it reported that if someone sent an email to the distro when subject's name was still included, then if they send another email today accepting an autocomplete suggestion, then he will be included as the local Outlook instance will have cached the list linked to the autocomplete entry and will use that rather than look at the new one. Does anyone know if that is in fact correct?
2. Someone may have created a message template with address embedded - again that would freeze the distro list at the time template created. I have no experience of using Outlook templates. Can anyone who does verify that this is a likely possibility?
Both not hard to solve in principle - except complainant can only tell us who the latest email came from.
All goes to show, as I have been saying for years, use a proper application to manage [external] mailing lists
