Hello there
Can anyone advise regarding retention of individuals' details on our database?
We manage a large NHS medical research programme and we need lots of experts to act as referees and reviewers. We also need to manage
these reviewers so that that are not overloaded.
Often we find out about new experts from our existing experts or we glean their names from journals and conference
information on the web.
We have to get their approval to add them to our referees' list but in order to write to them to ask if they are interested
in becoming a referee we have to enter them on our database. If they agree to be referees that's Ok but if they refuse do we absolutely
have to remove them from our database?
If we comply with DPA and remove them from our database there is a good chance they will be suggested to us again by someone in a year's
time and and we will write to them again and probably annoy them
If we keep them on our database with a note saying they do not want to help us then it's likely they will not be disturbed again - but we
will be technically in breach of the DPA.
Does anyone have any views on which of these evils is the lesser one?
