I have been asked by our Student Registry about keeping bank statements
which are provided initially as proof of funding.
Should they be marked as seen & then shredded or is it acceptable to keep
them as part of the student file until the whole file is destroyed as per
its retention schedule? The query arises because there are sometimes
queries over fees, students not paying up etc. & the staff sometimes use the
statements to remind the student that they indicated the funding was
available when they started on the course.
Obviously, keeping them secure is a serious issue and I am inclined to think
that they should be shredded after being seen rather than retained.
However, any further advice would be welcomed.
