Afternoon all,
I've had two queries from our HR department regarding the usage and storage
of staff absence records, and would just like to cross check I'm providing
them with the correct information.
Our Payroll department now needs access to absence records to calculate
Statutory Sick Pay; I've advised them that this would be ok providing
certain information is hidden e.g. reason for absence, as they only need to
know the number of days etc. The second query was that HR are thinking of
filing people's sick lines/records etc in their appointed files (they
currently keep all absence records separate). I can't see this being a
problem if only HR staff were to access these files, however it may be that
Finance/Payroll need to double check paper copies, in which case they'd need
to go into individual staff files. I presume this would need to be policed
by HR so no other information could be viewed? Or do absence records need
to continue to be filed separately? Any advice would be greatly
appreciated.
