We charge nothing for employees who want to inspect their HR file (they have no statutory right to see it anyway, so we allow inspection as a matter of good employer-employee relations). If they want to see the file their line manager keeps, then the employee has to pay £10. This is also true if they want to see e-mails.
To date, I have had only one request for a copy of an HR file from a former employee, and I chose not to charge for it. On the other hand, if that former employee had also wanted e-mails and other items not normally part of the HR file, I would have charged.
We charge our students £5 to see any of their personal data. And yes, I know all the arguments about how it probably costs more for the cash office to handle the cheque (when it is a cheque); but I got sick of arguing with the Student Union over people who wanted the fee waived (when the student in question can spend more than £10 in the coffeeshop in 3 days), and also because experience has shown me that information one has to pay for has a greater value than that which is obtained for free.

Am trying to convince People Development (HR as was!) that charging our current employees the £10 fee for SAR is counter-productive. They want to benchmark against practice in other organisations before reviewing policy.
Would be interested in knowing whether you charge (a) the public at large and (b) your own employees. Also intereested to know if you charge a fee that is less than the £10 maximum.
