This reminds me of a time when we responded to a SAR with what we thought
was all the information we should provide. Certainly we had provided all
the information on the file (apart from genuine redactions). The data
subject responded by asking why the details of a specific meeting at a
specific time had not been included. It turned out that the officer
concerned had left the only copy on a laptop which was locked in a cupboard
when the officer went on holiday.
Needless to say, our records management procedures were rapidly tightened
up and colleagues were reminded of the need to file information properly -
but it's something we mustn't lose sight of.
