Doreen,
We have just finished an exercise with our Legal Beagles and Personnel folk
looking at all personnel records within our organisation and how long each
category should be held, by Line Manager and the Central Personnel
function.
Our policy is to hold (although separated at birth!) Absence Records and
Sickness Reasons for 2 years at Line Managers level and 7 years at
Personnel Level. Our logic for doing this is that our management do tend
to manage the persons future sickness and any current long term illness.
Our HR / Personnel folk need to hold onto their records for Inland Revenue
purposes. Natch, if the folk need to hold onto the records a wee bit
longer, we encourage them to document a reason and when that info needs to
be reviewed again for destruction.
