I would add to the policy the following restrictions:
1) Do not use work e-mail to contact your trade union rep, solicitor or
doctor (medical or psychiatric) as these may contain details you don't want
us to know;
2) Do not send details of clients via work e-mail if members of the IT staff
should not see the information (eg details of clients' medical conditions,
offences, alleged offences, religious beliefs, trade union membership, etc);
3) Do not send e-mails containing offensive (to anyone) words, or words that
may contain shorter offensive words such as Scunthorpe, Essex, etc., as these
are likely to be picked up by a badly-set-up keyword monitoring system.
Can you imagine how hard it will be for a woman working in Middlesex with
breast cancer trying to send details of her treatment to her occupational
health physician and details of harassment about her absences to her TU rep?
Or the social worker in an outpost office who needs to send sensitive details
to SSHQ about a client who is being battered by her husband who works in the
IT section?
Makes you shudder, doesn't it?
