Hi Annie,
Just to confirm what Gail has said. JISC are currently planning an
update to the Study of the Records Life Cycle report so it is possible
that these recommendations may change (though unlikely I would have
thought unless there has been a change in any periods of limitation).
If you haven't come across them already the existing Life Cycle Study
can be found at:
http://www.jisc.ac.uk/pub01/records_lifecycle/records_retention_schedule.html
and the JISC Data Protection Code of Practice at:
http://www.jisc.ac.uk/pub00/dp_code.html#724
I would also point you to the Lancaster DP project guidelines
(www.dpa.lancs.ac.uk) on the retention of records which states:
Consider a two-stage archiving process. In the first instance, a full
academic and conduct record should be retained for 6 years from student
leaving institution (limitation period for negligence). Once that period
has elapsed, the record should be reduced to its minimum amount: i.e.
enough material to confirm the student<RIGHT SINGLE QUOTATION MARK>s personal details, marks and
degree class (and, if relevant, the process that led to that outcome).
All other materials should be destroyed, as arguably they are excessive
and irrelevant to the intended purpose (Schedule 1 Principle Three).
Furthermore, sensitive data should be removed at this stage (though
see the discussion of research information below).
Hope this helps
