In a way I think it would be better if it were the case that employers
could class all correspondence to work addresses as business correspondence
but individuals have rights under HRA in the workplace as everywhere else.
We are all entitled to a degree of privacy which means that it is not
considered reasonable that an employer should invade an individual's
correspondence without very good reason. In fact it is something which
employers must avoid doing if they are to stay within the law. I can't
quote you chapter and verse though I'm sure some of the other people on
this list would be able to.

I'm wondering whether we would sidestep the issue completely if we
highlighted that all our systems are for business use only ? Then surely
if
there is anything of a personal nature in an account it is the individuals
problem and not the College ?

I am looking at this at the moment. At present I think that access should
be
given, not to read the mail, but to set an out of office response. e.g. "Mr
X no longer works at Company Y - Please email Mrs Z". This gives the sender
the option of trying to find out where Mr X has gone if it is personal, or
of resending to Mrs Z if it is business related. Voice mail can be handled
in the same way.
ps How is their normal mail handled? I can't think of a way of doing this
without opening it.
