If they were totally exonerated what basis is there for retaining anything
on their file. If the employer totally exonerates the person then aren’t
they effectively saying that they did nothing wrong - why do you need a
note to say the person did nothing wrong?
However, if the employer felt the need to ask the person not to do
something again then presumably they must feel that the email facility was
not used appropriately and some degree of misuse did occur - sounds to me
like they are trying to have it both ways.
Perhaps the employer should keep a record of the incident, but in a
separate, general complaints/investigation file, with the details of the
complainant/incident but not of the person cleared, just to record that an
investigation was duly undertaken and what the result was?
