I asked the question:
"If an individual were to submit a subject access request and asked for "all
e-mails about me" and we have search facilities which we use to monitor all
internal and external e-mails for policy compliance reasons, is it reasonable
to assume that the search facilities of the system (in which we can enter any
text such as a name) should be used to find all e-mails containing this
person's details? Or could we say to the person we need more details of the
e-mails before we can search?"
. . . and got the response from the OIC:
"If an individual has requested all emails which contain his personal data
and you have the facility to find them, I do not see why you would need to
request further information in order to be able to supply them."
So it looks as though the answer is this: If you don't monitor e-mail
content for complaince, and you don't have content seach facilities, you
might be able to ask the individual for e-mail dates, subjects, etc., if they
put in an SAR. Otherwise, you would have to produce them based on the
original request.
So that's clear then?
