Hmm, this sounds as if your records management needs improving:
Files shouldn't be stored on PC hard drives but backed up networks that are
accessible by the IT department.
Filing cabinets etc should have spare keys in the event of illness or loss
Inimitable filing methods - you should have (at least) a list of files so
that if you were to be run over by a bus (which I hope you're not) people
could still use the files.
