I would be very grateful for any advice that list-members may be able to
give me on this subject:
We are currently collating a database of staff information at QMUC. The type
of data that is being sought covers details of editorships, external
examiners, research supervision and examination, academic reviewers, expert
witnesses, etc etc.
The information that is being collected will serve two main purposes. The
first one is an internal exercise that will create a set of statistics based
on the data returned by staff. This does not present any discernible data
protection problems.
The second use for which this info is being sought from staff does, however,
throw up a few questions. For this project, a subset of the above data -
covering staff's research activities, publications, results, etc - will be
collected, along with their names, and a further subset of this will be
submitted to an external organisation for publication on their website. This
will list research data by institution, faculty, department, group and
researcher.
We are obviously telling staff the reasons for gathering this data, but are
not certain where some of the responsibility (in respect to dp)for the
research information should lie. Should we obtain written consent from staff
for the data that we will maintain in-house? Also, do we require consent to
submit some of this data to the external agency? And finally, does the
agency require consent, in any form, from our staff to publish these details
on their website?
