Can you please alert your colleagues who are awaiting the Confirmation of
Attendance Reports for AY 2001.
Please note that SSIN21/01 and the Student Support Update (November issue,
page 6), state that these reports " will arrive at Insitutions within three
working days of run date".
THIS IS INCORRECT( and in fact DFES have previously been asked to correct
SSIN 21/01 accordingly).
It is not physically possible
to run the report ( overnight on a Friday, as part of batch processing)
produce a master file with all HEIs data ( following Monday morning)
in keeping with "data protection act ", copy each HEIs data to a
separate floppy disk ( some 700+ HEIs) * NB Floppy disk replication
carried out by external contractor
on receipt of individual floppy disks - spot check random sample ( by
Wednesday morning)
floppy disks passed to our warehouse staff for collating with paper
reports ( completion of which takes 36 hrs)
Parcels posted to each HEI 1st class (first of which will start being
despatched on Thursday)
DFES estimate does not include time for postage. It is more accurate to
allow five working days, although it should be stressed that this assuming
Royal Mail meet their targets.
Hopefully by clarfiying the process involved you will appreciate why it is
not achievable to deliver within three working days.
We are currently investigating the possibility of purchasing replicating
equipment, which would allow us to carry out all the work in-house and
hopefully speed things up.
