Assistant Records Manager for the Harvard Medical School
(temporary through June 2001)
Duties and responsibilities:
Working with the Records Manager/Archivist, this position is responsible
for assisting offices in the arrangement, disposition, transfer and
retrieval of records. These responsibilities include assisting in the
preparation of records for transfer to the Harvard Depository, managing
transfer and retrieval paperwork, and other activities related to assuring
offices access to on-site and off-site records.
Conducts outreach activities, particularly to increase use of records
management services, including providing information and training to
offices in benefits, policies, and procedures of the Harvard Depository.
Works with
space planners as needed to assess on-site records storage needs of
offices. Advises offices on arrangement and management of records to
increase ease of retrieval and disposition. Develops and/or implements
records schedules to dispose of records. Assists the preparation of records
for transfer, including the completion of paperwork. Manages transfers of
records, including arranging for shipment to and retrieval of records from
the Harvard Depository for all Harvard Medical School accounts. Executes
other tasks as assigned to increase access to records throughout the
records lifecycle, including workflow analysis, establishing record keeping
guidelines and procedures, advising on reformatting and/or migration, and
arrangement and description of
records of long term value. Supports use of holdings by administrators,
faculty, staff, students, and other users by responding to queries and
assisting at the reference desk.
This position is funded through June 2001.
Required education, experience and skills:
MLS degree from an ALA-accredited library program and/or a MA degree
(preferably in archives, history, or the history and sociology of science);
professional experience, preferably in an academic institution, working in
an archives or records management program; knowledge and interest in files
management, electronic records management, and other areas of records
management; superior presentation and communications skills, ability to
work with a diverse HMS faculty, and an attention to detail; strong
computer and database management skills; ability to comfortably lift boxes
up to 35 pounds on a regular basis. Knowledge of the history of medicine
preferred.

Grade: 54 ($27,100/year minimum)
