WHY DIGITISE? MANAGING A DIGITISATION PROJECT

A WORKSHOP BY THE ARTS AND HUMANITIES DATA SERVICE 
&   LEEDS UNIVERSITY LIBRARY

THURSDAY 12 NOVEMBER 1998

CONFERENCE ROOM, EDWARD BOYLE LIBRARY, UNIVERSITY OF LEEDS

The Arts and Humanities Data Service and Leeds University Library
have arranged a workshop for those in UK Higher Education interested
in managing a project in digitisation.  

The day will not have a specifically technical focus but will be aimed at 
those involved in planning and managing a digitisation project. The 
workshop will provide practical guidance by moving through the main stages of
project development - from the project's inception through to its
execution, maintenance, use and evaluation.  

Each session will open with an overview of the strategic issues which need
to be addressed at the particular stage of the project life-cycle and will be 
followed by case studies of real and current experience.  These will come from all
over the UK with a focus on projects within the north of England.  The
combined effect of strategic with practical experience will provide
participants with a comprehensive introduction to the design,
implementation, long-term maintenance and use of any digitisation
project and with a survey of the kinds of digitisation projects which
are both possible and widely tried. 

The workshop will begin with registration at 9:30 and finish no later than 4:30.  
The cost to participants will be stlg30 (including lunch).

9:30		Registration (coffee and tea available)

10:00 - 10:20  	Introduction and Case Study 1

Oliver Pickering from Leeds University Library will describe a 
possible new digitisation project at Leeds University Library 
(possibly also involving the School of English).

10:20 - 11:15   	Session I  Project Planning

This session will be introduced by a speaker from the Arts and
Humanities Data Service who will outline issues which need to be
addressed in project planning such as selection criteria, costs,
evaluation, copyright etc. as a means to 

 o ensure the production of high-quality, useable, and useful
 resources;
 o Help to safeguard the digitised resource against changes in
hardware, software, and networking environments
 o Ensure intellectual and copyrights;
 o Eliminate redundant effort and minimise costs.

Case Study 2: 	Keith Webster from the University of Newcastle will
give a presentation to the group on  the planning for the Gertrude
Bell Archive digitisation project.

11:15-11:30 	Refreshment Break

11:30 - 13:00  	Session II - Implementing a Digitisation Project

Jane Williams from the Technical Advisory Services for Images will
introduce this session, which will begin with an examination of issues
of strategic concern to any digitisation project, notably the
selection of appropriate:

 o Information interchange, documentation and other standards;
o Data storage and management;
o Data documentation and resource disclosure methods;
o Data distribution methods.

Case study 3:  Christine Wise, Fawcett Development Librarian at London
Guildhall will speak on the Fawcett Library's participation in the
JISC Image Digitisation Initiative (JIDI) Case study 4 Peter Millican,
University of Leeds will talk about the establishment of the new
Electronic Text Centre

13:00 - 14:00 - Lunch

14:00 - 15:30 - Session Three - Long Term Maintenance and Use

Kelly Russell, from the "CURL exemplars in digital archives" (Cedars)
Project will begin the session with a survey of issues essential to
the long term maintenance and use of digital information resources and
focus on:

 o Promoting awareness and use;
o Design of cost recovery models
o Evaluation and user-behaviour
o Ensuring long-term preservation and access

Case Study 5 Tracey Stanley and Bill Jupp from Leeds University
Library will speak about implementation, evaluation and maintenance of
the materials in the  Internet Library of Early Journals project Case
Study 6 Freda Carrol from the University of Hull will discuss the
implementation and integration of the Eurotext project

15:45 - 16:30 - Conclusion and Wrap Up
