Suddenly my job has become a lot easier - hopefully you have someone to help you. I have half share in Robin who also works for the Data Manager but other than that, I am entirely on my own. Bet you have a big bottle of wine when the exam season finally ends :)

We're a large 6th form college approx 3500 students. Training invigilators can be a real test of organisation and patience. On top of our 200+ invigilators we also have about 20 readers/scribes and LSAs, but they are mostly handled by the Learning Support team.
Just preparing for 2 training sessions in March. One has about 120 invigilators attending and the other about 60 so far but that should be nearer 100 by the time we've chased the 50 that haven't given us their availability yet!!

I have 41 Invigilators and a team of 11 Access Team staff. (Access Team have just been recruited to read and scribe in exams as our Learning Support Department has been cut so dramatically there isn't enough staff to cover requirements and let them do any work at all during the main summer exam season). How ever do you manage to get all 200+ in one place to train them? I'd be scared myself training in front of that many - I lift my hat (if I had one) to you

I conduct spot checks on my Invigilators - checking notices etc and the way they run their exam rooms. They know I am a bit OCD on procedures, but understand why and accept it and go with the flow. They know I will reprimand where necessary, but they also regularly hear me praise and congratulate as well. I do an Invigilator newsletter twice a year and if I have had issues with anything - stick a question and the answer to the problem on this. I also put anything good on there too and they all appear to have welcomed this.
One of my main problems was when it is time to distribute exam papers, they all descend on the Invigilator desk - keep their backs to the students - grab at papers to be the first to get them out. It didn't seem to matter how many times I addressed this in briefings, it still happened, so at a training session a couple of years ago, I did a role play. I got a handful of Invigilators who don't seem to do this, and we acted out an exam scenario with various issues in it. To emphasis about the back to the room part, a colleague and I actually swapped seats whilst the invigilators were at the table. They admitted they didn't spot us move. At the end of the exam, we moved back again before the scripts were collected. It was a 'fun' bit, but it got the message home and I don't appear to have experienced this problem again. Not sure if it is the method I used or the fear that I might pick on them to be an actor next time. I also gave out prizes for certain things and made sure lots got them - things like accuracy, attention to detail, punctuation etc.
I also have 3 levels of Invigilators. One is Level 3 who acts as my Assistant when required, but Level 2 are paid at the highest level and lead exams and attend exams in single rooms - level 1 are newbies or people who do not want responsibility. When we instigated this everyone was pleased because it meant those who ran exam rooms and had been in situ a long time earnt more than those who really didn't know much or didn't want to have the responsibility I assess them to move them up to Level 2 when they are ready but the spot checks also indicate if they are falling short of the Level 2 requirements. It gives them a chance to correct things if they wish to remain at Level 2. Noone has ever had to revert back and they welcome individual feedback and I always ensure that I have something positive to say about them (even my most challenging one got a good review and was pleased with me for once).
I try to make them feel valued and part of the school but in return I expect total loyalty and professionalism. However, this happened today for the very first time - handing out the trays I was suddenly left with one trolley and no Invigilators. My Gym venue had all wandered off and forgotten that they actually needed some exam material. I told them they had failed their attention to detail bit, but we had a laugh - fortunately not a real exam season

There is either the EOA's Invigilation award checklist (it's worth having their partners, ETD in to do the training - strangers always have more effect!) or Cambridge English have their exam day checklist.
Luckily I have never needed to dismiss any invigilators, our team are pretty good.

Hello everyone,
During our mock exams recently, it came to light that some of our invigilators may need additional training to help them fulfil their role and requirements according to their job description! (Some seem to think it is easy money!)
I am contemplating inspecting my invigilators and meeting with them to discuss and additional training they require and if necessary following disciplinary procedures to get rid of them!
Do any of you have a spot check form/inspection form you would be willing to share?
Also how to you dismiss invigilators (should you need to?) Do you have a formal HR process you have to follow, or do you simply stop allocating them exams?
