Hi Suzanne
We did have a problem this year as well. I found that where there was existing data in EBS from previous sessions these did not have the combination information (the A) input into the exam detail. This was stopping the file importing. I did a report to find which exams this affected and then manually added the combination (simply the A). Once I had done this the import worked.
The useful thing about EDIFACT is that you can import the unit information and obviously link this to markbook and ask staff to input results electrically, then send via EDI. If you're like me and hate paper it is great way to get rid of the SRFs!
May be useful if you are thinking of moving later down the line.
Tony

Hi Suzanne
We use EBS and I’ve not been able to use EDIFACT for registrations or NQF summer entries. This is despite Tribal dialling in to try and resolve the issue.
I’m staying with JCQ which is what I used when we had Unit-e.

Hi Tony
Yes, that is my understanding of the difference between the two sets of base data. I’m worried about what will happen when the results files are imported. I did speak with someone from Capita but I think I will have to push it back to them to get something more specific in writing.
Thank you for your response.

Hi Suzanne
We use EBS but have had the same issue. I have had to create a separate occurrence (JAN15) and then imported the JCQ format basedata for the external exams.
I think the issue here is that the EDIFACT format does not allow the awarding body to include the detail needed for external exams, whereas the JCQ format does as it was designed specifically for the GCSE and A-Level exams.

Subject: NQF BTEC - UNITE
Dear All,
I know that the NQF BTEC issue has been mentioned this week with using EBS but we are UNITe users and I wonder if anyone can answer some questions for me.
As I expect anyone using UNITe is aware there are two types of Base data which can be used -EDIFACT and JCQ. We were set up to use the EDIFACT base data when we first started delivering BTEC about 8 years ago and we have stayed with this. I think JCQ base data was brought in to accommodate schools, particularly those using SIMS.
We use EDIFACT as it contains much more information i.e. 6 character alphanumeric for the unit codes and allows us, in conjunction with an internal system, to track learners’ progress and then import the results into UNITe, at the end of the academic year. These results are then sent electronically through A2C. The other big advantage to using EDIFACT is that once registrations are sent electronically we then receive a file back with the registration numbers (which are then imported into UNITe).
I have been told by EDEXCEL that the only way to do entries for the Next Gen BTECs externally set tests, is to use JCQ format or through Edexcel on Line. Both of these options are out of the question for us and everything is set up to use EDIFACT . Luckily we will only have one NQF programme this year but as for next they will all be NQF.
Are there any UNITe users out there who are facing the same problem? I would really be grateful for any help and feedback as to how people are going to manage this. I have been told by Capita it is not possible to import both types of Base data as one will overwrite the other.
