We are also a sixth form college and we do exactly the same as Marjanne apart from the fact that we do not collect a fee. The college pays !!

We are a sixth form college and our students do not all live locally. We collect a fee of £10 at the beginning of the two years which covers the mailings. We wait until we have collated all the certificates (almost done, hurrah!!) and our year 13s are invited to collect their AS certificates during the first week of December during lunchtime. Those certificates which are not collected will be kept until next year. All the A2 certificates and those from students who have left will be sent 'signed for'. If any certificates are returned we try to contact the student and will try to send it once more. If we cannot contact the student or the certificate is returned for a second time, we keep them for 5 years. After which they are destroyed. We do not replace certificates, unless it is clearly our mistake that the certificates have gone missing. Very few certificates are returned.

We have one Exams team based at one of our five campuses spread around a large City with poor transport infrastructure, and have historically had issues when staff other than the Exams team were responsible for issuing certificates. Currently we are batching certificates up until we receive the certificate for the main learning aim (or it is set to no
achievement) at which point we post the certificates (with a few obvious
exceptions) by "normal" second class mail. Certificates that arrive subsequently are then posted upon receipt.
The objective is to avoid the student receiving multiple mailings and hence getting confused at a later date when they have can only find some of their certificates. Whilst there is a significant cost saving in terms of posting and time we have received a consistently poor service from "signed for" meaning where students have no one at home in the daytime and are then unable to get to the sorting office before the envelope is returned to a distant office in Belfast and disappears for many months resulting often in us having to replace the certificates. We do lose a few when using "normal" post, mainly due to incorrect addresses, but the a low percentage.

I also stopped posting out majority of certificates this year (except internationals obviously and some of the Entry level type
qualifications) however because most certificates come in randomly depending when claimed, we don't have set collection dates. I just text the students using TxtTools for each certificate batch received.
Throughout the summer and autumn this worked well with steady stream of visitors rather than large groups at a time. The system gives reports on failed mobile numbers etc, so we can then email them as backup. Pick up rate is about 70% saving us a fortune in 'signed for' postage and hard backed envelopes.
