Hi Debbie,
When I have had to do this en mass in the past, I gained consent from each
employee before their records were transferred. In the consent was an
explanation which outlined the process from beginning to end and also
informed them that we would be keeping a note of their company name,
employee number, a list of the tests taken, their consent and a receipt
from the new provider. It also explained that we would not be keeping any
results of the tests, simply a list of what had been transferred to the new
provider, just in case they were ever need by the courts.

As part of the management of OH records, I am seeking opinions as to the
procedure taken when transferring OH records from one service provider to
another.
The particular aspect is around employee consent.
Do you gain written consent of EACH employee to allow transfer of their OH
records.
Or, do you provide a generic letter, which is distributed to all employees
( through the employer) outlining the change of provider and give X time if
they have any concern over the transfer they have to notify you in writing
of their decision.
