Yes we do on QL V4 and we change the stage date (date the certificate posted out) and code (stage code of CERT) on the student side when the full certificate arrives and this can be recorded against each course

Good Morning Everyone
Thank you for sharing all your methods on this. I think we all have similar records.
I'm interested in the recording on the MIS system, does anyone record this on QL unit 4 ? And if so, how?
Best wishes
Mandy

We send students a postcard with office opening times, also with information as to what to do if they want someone else to collect on their behalf.

We also record all certificates posted on our MIS system but I might want to change this for reasons already stated by others, missing in post, etc.
For those of you who don't send out certificates to students, how do they know when they are available to collect from you? Are they informed by tutors or do you send out a standard letter perhaps?

Stephen

Hi Mandy,
We maintain an alphabetical signature 'book' for students who collect their certificate - which is the norm. We only post out certificates where students provide a SAE, as we have found in the past that they have changed address without notifying us and the certificates end up back with us. When they send a letter requesting we post the
certificate(s) to them, we note it in the signature book. This works quite well for us.

Subject: Maybe SPAM The recording of the posting of certificates
Hi Everyone
I was just wondering how everyone kept a record of any certificates they posted out to students.
At the moments we create a posting list which has the students address and what certificate is being posted. This is then saved under the date it has been posted out in the correct month. The list is printed and the post office date stamp it for us.
We create a separate sheet for each qualification but if the student has more than 1 certificate this is recorded on the same sheet. If a student then phones up to enquire where their certificate is we check our post list to see when it was posted and to what address.
I just wondered how everyone felt about the importance of keeping a specific record of posting and how they did it.
Thanks
