We have a pool of c.120 casuals recruited as either invigilators or senior invigilators. They are mainly of retirement age and many have been here for a long time. c.2 months before the exams we ask for their availability and allocate duties according to our needs/their availability. However, possibly due to the average age we find they often cancel, sometimes last-minute which causes us a time-consuming reallocation workload.
It's a very complex duty which requires an initial pen/paper mapping exercise that is then input onto an Access Database. It's not the best but they only way we know how.
If we change the duration of an exam most will accept the additional time but if we make it less, we pay them for the longer duration that they were originally booked for.
If we cancel one of their exams with less than 24 hours notice we would still pay them.
We have little turnaround between our summer and resit exams so must blindly book invigilator allocation before we know how many we need. This leads to either last-minute panics because we haven't enough once the timetable is calculated or over-booking which means we have to cancel last-minute which we prefer to avoid.

Subject: Invigilator planning
Dear all
I am looking to review the way that we assign invigilation support to exams at NTU. We currently operate with a pool of Invigilators who are employed on a casual basis which means that whilst we may offer them work they are not obliged to accept it.
I would be interested in finding out how other institutions appoint Invigilators, particularly if the system works well for you!
