As I've said before we now ask for copies of all reports in pdf format. The
digital report should contain all the elements the paper one does. I am
relaxed about the format - it is an industry standard now and retains the
format, layout, etc of the original so protects the author from possible
later modification of the report by others. I think rtf is too much of a
potential liability for us. Digital reports are then hyperlinked to the SMR
database. Initially some of the contractors complained but everyone now
seems to be doing it fine. New computers and MSOffice 2000 + seem to be
able to save files in this format very easily.
We set up a copy of Adobe Acrobat on one of the PCs here and offered to put
reports into the format for contractors unable to do it themselves, at a
small cost. However no-one seems to have used this service yet! Similarly
we have offered to scan plans etc at cost but ths has not been used.
I am waiting for a contractor to offer us a report in some other format -
with plans in ArcView, for example. Has anyone else experienced this?

Dear All,
in common with many SMRs we are introducing a clause in our specifications
that require contractors to deposit a digital copy of their reports with us
in addition to the hardcopy report in either *.rtf format or *.pdf format.
However, anticipating that some contractors will be unable/unwilling to do
this we would like to know how other people have addressed the problem. In
particular how successful have SMRs been at persuading people to send in
digital documents. Has arm-twisting been necessary? Also, how have people
dealt with the problem of plans whether A3, A4 or whatever. Are contractors
required to scan these in? Several of our contractors who might be willing
to send in a Word document will certainly not be able to scan large
documents. How have SMRs dealt with this?
