We keep a record of the replacement cost of items (excluding any discounts)
in our catalogue records, the only exceptions being donations and materials
we've had since year dot: these materials default to an average price for
the appropriate type of item (in practice a best guess that we've entered
into the settings on our system). If someone loses or damages an item we
charge whatever's on the catalogue regardless of how long we've had it:
* if we need to buy a replacement for a popular item we wouldn't get a
discount because we had the previous copy a while
* the charge should have a deterrent effect; we don't want people
thinking they can get away with losing/abusing library stock just because
it's not fresh this week off the suppliers' shelves
We update the default prices on our computer system periodically (probably
not often enough).
