In Lancashire we ask for digital versions of fieldwork. Where this is
likely to be just a written report we just take it how it comes and
(usually) convert it to our own word-processing standard. Plans are often
not supplied digitally, but where necessary we ask for them as DXF format
but don't specify line types or styles. Where gazetteers of any size are
anticipated we usually state in the brief 'contractors should discuss the
format of the gazetteer in advance' to get some control, but it is all a bit
ad-hoc. I've even sent out blank databases for folk to fill in before now.
