Dear all
Here at the Parliamentary Archives we've become the first UK user of
the functional thesaurus and classification scheme Keyword AAA for records
management. A number of people have asked us for more information so here
it is (this note will also appear in the next SoA Newsletter).
> Keyword AAA is a thesaurus of general terms designed for use in
> classifying, titling and indexing administrative records in manual and
> electronic filing systems. It covers terminology common to business
> functions and activities in most organisations and is used in conjunction
> with a locally-devised thesaurus of functional terms, relating to the
> organisation's specific or core business functions, to provide
> comprehensive controlled vocabulary coverage. Keyword AAA is a product
> developed by the Archives Authority of New South Wales over the last 20
> years, and is now in widespread use across the public sector in Australia.
> For more details on Keyword AAA see
> http://www.records.nsw.gov.au/publicsector/rk/aaa/keywordaaa.htm
>
> The benefits of using this particular thesaurus and classification scheme
> in Parliament are that it is an off-the-shelf scheme which can easily be
> edited to meet local requirements (eg delete Aboriginal Employment Scheme,
> Australian Capital Territory; add Early Day Motions, Public Petitions
> etc); it is extremely comprehensive; and it has been developed
> specifically for records management use by a major public sector archive.
> The Parliamentary Archives is currently introducing a corporate file
> classification with associated disposal schedules across the House of
> Commons and the House of Lords, and Keyword AAA has been a major advantage
> to us, not least in terms of its functional approach and the time saved in
> developing a classification scheme from scratch. This is a major
> component of the Parliamentary Records Management Programme, launched in
> April this year (see Newsletter no 125, pp. 11-12).
