We have also put it into our risk assessments that only authorised staff who have signed our confidentiality agreements can service the copiers unattended and the location of the machines is such that they would be very difficult to steal/ tamper with without being seen.

The more expensive your printer, the more likely it is that it stores data. As part of disposal, always have the hard drive destroyed like getting rid of a laptop.

I have just had a conversation with a member of staff in our general office who says she’s been told by our photocopier rep that we need to pay for our copiers to be “cleaned” as they store data and we might be breaching the DP act if we don’t do this

I am really suspicious – he says the machines store information as digital binary images and for a premium clean they would like £250

This sees completely ridiculous to me and I personally wasn’t aware the copier stored any data of ours for any length of time

Obviously I need to dig a bit deeper into this but I just wondered whether any of you have come across this before ?

Kind Regards
