One other thing to remember is the need to ensure that w= hat ever the trip reason (rule, date that starts the clock ticking) is used= actually gets filled in. The more unusual the trip reason the less chance= staff ever fill it in. For example The date closed rule is a common one = to use (it would fit in with your example) but is it very likely no one in = the business will ever fill the date closed field in on the EDRMS. The only= way to use this rule is if the EDRMS is integrated with the line of busine= ss (LOB) application and the staff actually fill in the date closed (employ= ment ended, etc) as part of their normal work (it helps if someone is repor= ting on number of the field use for quality or performance requirements). A couple of examples of trip reasons I use are; children social care/education files and personnel files I use date of bir= th. As date is entered when file is created you know when the file is to be= destroyed. For Adult client files I use date closed - date automatically transferred f= rom the LOB Contract records also use date closed, but it requires work from the busine= ss to do a little calculation when they create the folder (i.e. Date contra= ct started plus number of years contract is let for, I also usually suggest= they also add in the possible extension period as they may forget to do th= is in future) - The business unit staff also have the option to alter the d= ate closed field (in case it is extended but they have not entered the date= previously) Other standard type trip reasons I use are; Date folder created date last document added into a folder (this is usually instead of a date = closed rule, or counts as date of last action). Let's get things into p= erspective here - these "users" are employees of their organisations and as= such have a responsibility to manage information according to that organis= ation's rules and standards. That includes managing emails. If the organi= sation has no rules, then so be it - but that gap in information management= is setting up huge costs and business continuity issues for the future (no= t to mention deliberate law-breaking where emails are retained en masse ind= efinitely), particularly in relation to e-discovery, which as we all know i= s becoming disproportionately expensive due to the quantity, and disparate = locations, of the information to be trawled through. Email management is just a part - though admittedly a major part at present= - of managing corporate information responsibly. And the old records mana= gement mantra still applies: the format and medium are irrelevant; it's the= content that matters. Incidentally it takes about 5 seconds to save a business critical email int= o its appropriate storage context (shared network drive, database etc). I do think that if it's user rights all the way you have to assume they wil= l send anything and everything (following their own 'essential nature') and= you will have to manage it all and if you give them to believe it will be = kept then they will use it more. Then when a user leaves, good luck using = an email archive search function to pull together case files! Perhaps controversially, I think (work) users generally want rules so that = they know what they are expected to do - I'm not denying the usefulness of = a searchable email archive or exploring the uses of other new technologies = but I have found users also crave direction on how they are expected to use= technology. Because they have a job to do and the vast majority recognise= the value of a 'system' and 'processes' in improving efficiency and teamwo= rk.
