Thanks Vanessa, this is interesting as I am currently looking at using content types as the best way to organise retention and wasn't aware of this potential problem. Is anyone able to clarify if MS are genuinely looking to retire content types or if this is an example of a company (HP) trying to drum up business for an add-on?



We are looking at retention in relation to SharePoint at the IRMS North and SharePoint Group Event in Preston on 13 March, anyone who's interested can sign up (link below) and we'll certainly be asking the question.

Just in case it is of interest to colleagues, yesterday I attended the event "How to Develop Your Information and Records Management Strategy for SharePoint & Office 365" - hosted by HP and AvePoint, a MS partner tool for additional RM functionality.



I found it extremely informative in identifying the IRM shortfalls in the O365 offering, which tools such as AvePoint and RecordPoint seek to address, especially for those organisations without an existing EDRMS or similar solution in place.



The main takeaways for me were understanding how, for a large complex organisation, such as multiple retention triggers and instructions, SharePoint out of the box functionality is unlikely to be sufficient; and that Content Types, as a means of applying retention policies in SharePoint, are no longer being actively developed by Microsoft, meaning that it is likely they will ultimately be retired several years down the line. Making retention labels definitely the way to go!



Of course we all have to start somewhere with O365, but this was a really good session for interrogating some of the issues around MS's current RM functionality and thinking about how to address these.



I would be happy to share my notes if anyone is interested.



Here at the University of Surrey O365 (focussed on SPO and Teams) has been rolled out, but our IRM strategy in this environment is very much in its infancy as it is with many others, and I would be extremely grateful for the opportunity to exchange wisdom/lessons learned with IRM colleagues as we all move forwards.

Jumping on the back of Mark's email (thank you Mark!) I would also be very grateful to hear from colleagues who have experience of records management in Office 365. It is being rolled out here at Transport for London this summer, and I need to create some guidance for complying with our IRM policies whilst working in this new environment. Having only joined the organisation a couple of weeks ago and not previously encountered Office 365 I would be particularly grateful to hear from colleagues who have created their own guidance and policies around its use and how this has been going so far.

I am particularly interested in the use of labels with: emails and how they have been implemented, what worked well, lessons learned and the types of labels used?
