Long-time no see.
Pretty much Richard Ash and Jim Dunn has covered all the bases with what they said and is pretty much the approach we have taken here at the University of Glasgow. We have a jobbing creative photographic service here as well as digitisation.
Anyone featuring prominently on the Universities website or in a Uni publication or campaign will be fully consented.
If we are photographing an event with the public or students, we ask the event organisers to fully inform those attending that photographs are being taken, to put up clear signage and to either ask people to let us know they do not want their photo taken or to stand or sit in a no photography area which the organisers can arrange.
I think this new GDPR law has to settle down a bit and lots of people are waiting on the first serious legal challenge to this to see whether common sense may be allowed to prevail. However till that happens, you and the institution you are employed by, need to protect themselves by holding specific consent for featured individuals.

Hi folks, I was just wondering if organisations are having to tighten up on photographing/videoing the general public (and indeed staff) at events etc. in light of the new GDPR regulations brought in earlier this year. Are you having to get permissions from individual participants and not just have 'cover all' signage on display. Any info on how it's working for you would be most appreciated.
