Hi Tara,
It is true that many copiers, MFDs and some printers retain copies of each document that they print on an internal hard drive. There are certainly data protection concerns about this, however I would expect there to be an admin level ability to vary the setting of this function, and I would also expect there to be a means of safely removing any such data before the device is disposed of. I wouldn't expect to have to pay a vendor to clean this and would be inclined to have a robust discussion with the existing supplier as to how this could impact on future business if they are unable to offer a zero cost solution.
Regards
Richard

Subject: [data-protection] Photocopierrs
I have just had a conversation with a member of staff in our general office who says she's been told by our photocopier rep that we need to pay for our copiers to be "cleaned" as they store data and we might be breaching the DP act if we don't do this
I am really suspicious - he says the machines store information as digital binary images and for a premium clean they would like £250
This sees completely ridiculous to me and I personally wasn't aware the copier stored any data of ours for any length of time
Obviously I need to dig a bit deeper into this but I just wondered whether any of you have come across this before ?
Kind Regards
Tara Davies
