This seems like an opportune moment to mention some of the useful things that can be achieved through having your reports digitally archived in the ADS Library (aka the Grey Literature Library). Sally and Nick have already mentioned some, but there are others.
We’ve done a number of bulk uploads to the library for HERs that are experiencing difficulties with keeping hard copy. Collections can then be kept up to date using OASIS. I have a couple of pedantic points to make here: Firstly, OASIS does not hold archived reports. Reports are digitally archived as they are passed into the library, as up until that point reports can be, and often are, replaced e.g. a draft replaced by a final / approved version etc. Secondly, we wouldn’t recommend linking to the reports in OASIS here as the URL is not a permanent one.
What are the advantages for HERs?
Firstly we are able to mint a DOI for the report. This is a persistent identifier – so no matter how much the URL changes (it is just a fact of life that these will change eventually) you’ll always be able to find it.
HERs can access an ADS page that will map their OASIS IDs to DOIs – we’d strongly recommend using a DOI (for example https://doi.org/10.5284/1017938 ) rather than using the URL. If you need a login for this then please email me (offlist!) or [log in to unmask] .
Linking to the DOI from the HER database is also a neat way of avoiding issues that can be caused when IT services decide to change your file servers without telling you…
It can be a good ‘sell‘ to senior managers as digital archiving essentially outsources your future risk – for example needing to do file migrations / data recovery for obsolete file formats (i.e. you don’t have to worry if pdf or pdf/a will be around in 20 years, as we’re worrying about that for you).
Lastly HER users like it – if you include the DOI in your HER reports/printouts then users can access reports straight away. Which also means you don’t have to copy and send them if you don’t have your own online library – and you don’t have to check copyright/IPR/embargos/confidentially etc . as it’s been dealt with when the contractor signs the OASIS licence and the report is released.
