I agree with Brenda, that most enquiries are one-off. I may well use the
same material in answering a number of similar questions, but the actual
advice often varies because of some specific aspect of the situation.

I've considered putting FAQs or something like that on my website but
rejected it for that reason: either the answers could mislead people into
thinking that their situation was similar enough when it wasn't, or they
would have to be too general to give a clear answer to their problem. They
would also have to be kept up to date and regularly pruned/edited to take
account of developments in the law and my thinking.

raise awareness?

Hi Lawrence,

My first view is that it may result in staff making their own decisions
on what other staff, who may not be over knowledgeable in DP or confused
about some points (as I am frequently) have said. If the blog was
constantly monitored and corrected when incorrect facts or views are
aired then maybe, but I think answering individual queries would be
easier. I find most enquiries are of a one off nature and need to be
dealt with as such.

We have considered, but have not put in place yet, a DP/FOI newsletter
that could be emailed out to staff on a regular basis, highlighting
recent fines and queries raised by other members of staff or
departments. This guidance would be 'after the event' sort of thing. Eg
Revenues were asked by AMC Bailiffs to provide addresses of some people
who owed money to a loan company. They were advised 'such and such'. Or
The police rang up the Leisure Centre and wanted CCTV footage of 'Joe
Bloggs' who said he was there when the burglary took place. Should they
give it ?. There would be a description of Section 29 requests and what
the procedure was.

In all these instances you cannot force staff to read a newsletter - but
sometimes it provides a break from work while having a cup of tea !

Thanks
Brenda

protection issues to raise awareness?

Dear All,
I am interested in finding out how you cascade data protection awareness
to your staff. I am often asked the same or similar Data Protection
questions. If I could answer the question once and let other see the
answer, without having to ask me the same question, then it would
leverage the understanding.

I could prepare an FAQ, but this is a static system which may require a
second FAQ to address concerns about the first set of FAQ. At the same
time, the FAQ can only address the questions as asked and would take
time to develop. Unless I created an FAQ list that I updated every day.

I was interested in whether anyone used an internal blog to engage staff
and answer their data protection questions. Would this allow people to
see internally the discussion. Often people will have the same question
but hesitate to ask because human nature being what it is.
A) They do not want to appear ignorant (this never stops me :)) or
B) because they are concerned they are doing something wrong and they
may get in trouble.
C) They do not know who to ask.

If you have a system are there any drawbacks or mistakes that have
taught you valuable lessons and you would want others to avoid.

Any views would be appreciated on or off the list.

Best,

Lawrence
