Dear All,
Coming to this let, but I thought I would add some thoughts given we just completed a large scale staff (all staff) awareness/training session on data protection.
I developed a presentation based on Adobe Captivate, which creates an adobe flash presentation from a power point slides. There are other platforms to use but that is one I had to hand. I wrote one up with about 70 slides. This sounds like a lot, but when you count in the transition slides the cover slide and the final slide, the actual slides to read was about 50 and most of these had pictures.
We covered the basics and included worked examples so that staff could understand the principles in action. We used real examples, like the mistake in sending Amy Winehouse's information to the wrong address after her death. We also used examples from our services so people could identify with the scenario.
There were 12 questions, about every three slides, to "test" the knowledge from the previous slides. The answer popped up automatically if you got it wrong twice. The goal was to learn by doing rather than "test". The other benefit was that questions also help keep track of progress through the module.
Colleagues in H R added a number of visuals and worked to add the visuals and make the text and experience as interesting as possible. The slides can be reviewed at any time to refresh on any issue with clear links to our policies and procedures, where appropriate. It is NOT as good as the HMG presentation but it is pretty good for an in-house production.
The goal, and this was key, was not to train the staff. Instead, it was to make them aware of the issue and to recognise when they needed to do something or avoid doing something. We have specific training for officers who are involved in regular use of sensitive personal information and these are covered in their service area teams.
On the whole, it has raised awareness and strengthened our approach to data protection. Is it bullet proof? No. Is it meeting our principle 7 requirements? Yes.
I hope this helps.
Best,
Lawrence
