Dear All,

Just a short note to let you all know that dates for the next 4 IRMS site visits have now been confirmed and are as follows:

Wednesday 18th April – Network Rail – National Records Centre
Wednesday 16th May – Visit to Box-IT - Box-It at their Winchester site
Wednesday 13th June – Visit to Recall - at their Hoddesdon Site in Herts
Wednesday 18th July – Visit to TNA - Kew, London

Full details of the first two visits are provided below. To register your interest in attending any of the above events,

Please note that registration is open to all IRMS Members. Places are limited so please book early to avoid disappointment.
In addition, also note that the IRMS reserve the right to restrict attendance at these events.

IRMS Visit - Network Rail National Records Centre - 18 April 2012 
==================================================

The National Records Group is the centre of excellence for  records management in Network Rail, and was presented with the Records Management Society ‘Records Management Team of the Year’ award in 2009.  The National Records Centre was established in 2008, bringing together 11 regional record centres into one.   The NRG provides records management standards and advice as well as practical records management for a wide range of corporate and engineering record collections.  Their activities support major projects on the railway infrastructure, such as Thameslink, Crossrail and the work to enhance transport links to the 2012 Olympics.  These projects, as well as routine enhancements and maintenance demands from the NRG over 750,000 engineering records per year, and will hand back to the business many times more.  

The visit to the National Records Centre will highlight how they  manage: - Engineering / asset information, including civil and signalling records in a variety of formats as well as CAD and a wide variety of signalling data;  Content management; paper records management; a deeds registry; and the corporate archive. 
 
The outline Itinerary for the trip is as follows:

11-11:30  Arrival / coffee 

11:30 - 13:00 Short Presentations:

- Trevor Dawton: an overview of NRG and how it supports Network Rail
-  Stuart Shaw (Records Technical Manager): Content Management and electronic infrastructure records (CAD) 
- Vicky Stretch: The Corporate Archive, essential to the role of records management 

13:00 - 13:30 Lunch 
13:30 Tour of the National Records Centre
15:00 depart 


IRMS Visit – Box-It -  16th May 2012
============================

Box-it has been established as a Document Management solutions provider for over 25 years, and is the Silver Sponsor for 2012 IRMS Conference. They  operate from 16 sites across the UK and Ireland, offering secure document storage and retrieval services, document destruction/shredding, scanning and outsourcing services to support back-scanning initiatives and business requirements such as Digital Mailrooms, Invoice Processing and HR Services.  They also offer their own Cloud based Electronic Document Management solution Omnidox which has won a number of awards for ease of use and overall functionality, and is currently Document Manager Magazine – Archiving Product of the Year and Storage Awards (where Box-it also were awarded ‘Company to Watch’ prize). Box it offer a number of innovations in areas such as Integrated Document Management through Document Lifecycle support through our Inventory Management Solution enabling retrieval requests,
 document retention management and the ability to link paper and electronic records. Their  focus is on delivering cost savings to customers, increasing organisational efficiency and supporting client’s compliance needs.  
 
The visit/meeting  will take place at The Holiday Inn Winchester, Telegraph Way, Morn Hill, Winchester, SO21 1HZ, with a site visit and tour of the BOX-IT Storage facility at  Box It Head Office, Winnal Down, Fair Lane, Winchester, Hants,  SO21 1HF.  During the site visit you will be able to view both their scanning and storage facilities, 


Details of the RECALL and TNA visits will be distributed closer to the visits.
