Thank you for responding to my question about past exam papers. Here is a summary of the responses.
Ten institutions replied
What arrangements do you have for getting copies, are they deilvered in hard copy or digital format.
4 libraries receive PDFs by email from either their registry or Exams Office or in one case from the Adacemic departments
3 receive hard copies and make arrangements for them to be scanned
1 received a mixture of hard and electronic copies, depending on subjects
1 has a system where departments post their own papers to a Sharepoint system
Those that receive hard copies mentioned the difficulty of obtaining digital copies. In some cases, academics can choose not to have their papers submitted. One mentioned restrictions where papers contain 3rd party copyright material
How do you make digital copies available
3 use a portal or intranet which restricts access to members of the institution
2 use their Library Management System
1 uses library web pages
1 uses their institutional repository
Do you use any special software, in house or from another source
The software named was MS Sharepoint (portal, document management), Millennium LMS and e-Prints repository
Is access restricted, and how
In most cases this is done by using an intranet / portal or by library user name and password. One institution restricts access to the papers by IP range
Do you use the VLE to make papers available
None of the libraries is doing this but in some cases lecturers may be posting papers or linking to the papers from their modules in the VLE
What do you do with print copies
3 libraries do not receive print copies, of the others they are stored for varying periods of time. In one case, the library photocopies papers and makes up packs which are sold to students. In 2 cases, papers are archived by other parts of the institution
What, if any, agreements do you have about length of time you hold papers in any format and make the available electronically
Periods vary from permanently to 3 years.
Additionally, one commercial organization proposed a hosted solution. They say they don’t have any UK customers for this but it is used in North America
