Our retention schedule recommends that the records of the University's
formally constituted committees are kept permanently, with the exception of
Extenuating Circumstances Panels which in line with principle 5 of the data
protection act are kept for the current academic year plus a further 15 (the
rationale being the maximum course length plus the period allowed in the
statute of limitations).
The paper record held in the Archives is very good for the University-level
committees like Senate, Council, Teaching & Learning Cttee, but not good at
lower levels such as course committees. From 2006 all committee papers
should be held in our electronic document & records management system
(edrms - we have the Wisdom product) and retention is set appropriately.
Coverage is much better (still not 100% though!). Paper convenience copies
are still also provided to the Archives by those committee secretaries already
following the deposit procedure.
