That is captured via the policy change control request and is separate
from the drafts - therefore we have the history of requests etc
(provides our audit trail if you like) which is why the drafts would
then be destroyed.
The exception to this rule would only apply to high level strategic
corporate council policies etc would then be appraised according to the
retention and disposal process, where historical purposes might dictate
that we send "drafts" as well as originals to the archivist - but there
is only a handful of these that this would apply to.

I would just add that you should identify and keep any drafts that have
significantly changed the course of direction from the point at which
you started
i.e. any major deviations or decisions that forced or enabled you to
change tact, thereby altering your original stated goal.

We do the following 0.1, 0.2 and so on for all draft documentation final
version would read 1.0 and then any subsequent amendments after this
would start 1.1, 1.2 and so on, helps identify the document as draft "at
a glance" and keeps thing simple and friendly for users. Hopes this
help.
Once the final version has been agreed/approved, all drafts are then
destroyed.

Wondered if anyone could help re the above. Can you advise what version
control you would use on draft documents?
For example, once a policy is approved is this version 1? If so do you
version control the draft documents as well? is this necessary?
We currently change the version dependant on whether the change is major
or minor. e.g. major change to document, version 1 would become version
2. Minor change, version 1 would become version 1.1. Is this only
necesary once a draft document is approved?
Any advise would be appreciated.
