We did similar work at our Local Studies & Archive Centre last year.
Based on our experience: -
1. Digitalising a collection of photos is not a difficult task. It could
be done with a fairly high spec image scanner and sufficient man power.
However, how to set up standards for meta data, and provide enough
server space to store images and a folder structure for saved images,
needs to be thought out before the work starts;
2. Once photos are digitalised and saved on your database server or web
server. Making them available on your web site is also a fairly easy
task;
3. The key is the search, security and charge/delivery facilities
(software).
4. Search facilities include search by staff and by the public. We use
DS Calm as management and search software for our digitalised
photo/graphic database. Scanning work was done by separately a 3rd
party. We make records in the Calm system, then link the record to
relevant photo/graphic images. Staff and the public find images using
Calm search facilities;
5. Security includes providing image with lower resolution or water
marks to stop them from being used commercially without paying for them.
6. Charging/delivery arrangements. If you are selling images, you need
have an arrangement for people to select and pay for the delivery of
high quality images.
7. Finally, PTFS is one of the good digital archive management systems.
Provided the above issues are covered, it will deliver a good result.
