This is becoming common practice at many UK universities. I read
somewhere (I think it was in the Times Higher Educ Suppl.) that
researchers who have papers on these archives get quoted more often than
those who don't.
These university archives are open to everybody across to world. Being
based in Aberdeen I just checked the University of Leicester as I know
one of my colleagues and co-authors has deposited one of our papers
there.
My colleague has listed on of the papers as: 'This is the author's final
draft, not as published in The Journal of Family Planning and
Reproductive Health Care, 2006, 32(4), pp.249-252.'
I have added some papers to the University of Aberdeen's archive, but
only a few thus far as it is a look of work and I have been asked to
check with each individual journal to check what I am allowed to put on
and what not. Apparently even journals which are owned by the same
publishers, e.g. SAGE or OUP can have different archiving regulations.
So in short what you have been asked to do is not out of the ordinary.
However, I have never bothered asking permission to co-authors as the
papers I have put in our university archives are already published (and
often the copyright then lies with the journal/publisher not the
authors). I have just told my colleagues that the paper has now been
listed.

I wonder if this is an issue for other midwife researchers (perhaps only
in the UK), and if so, how it has been addressed by some of you.
I have been asked by the university to let them have publications for
archiving within the university. I understand the principle and to a
certain extent, I may even share the principle of open access, etc...
But I have a problem with several points:
- amount of time involved for contacting all other authors to get their
agreement and ensuring that all publications are recorded with that body
too
- potential difficulties of seeking publication only in open access
journals
- reluctance to let pre-refereeing or final draft post-refereeing copies
be included in these archives. I would rather stand by what is
ultimately published.
I look forward to any information telling me that I am worrying over
nothing or that indeed this is an issue that has caused problems for
some, and whether they will have decided to or not to provide the
requested information.
