Hi
At Soho House in 2004 we did an exhibition with an artist focussing on the
closure of a local pyschiatric hospital, who worked with ex patients from
mostly a BME background.  We collaborated with Birmingham City Archives as
they took the hospital's records into their collections.  We did have a
problem in that we could not show written records before 1903/4 where
individual patients were named or could be identified and we were careful
with archival images also.  We had to stop the use of oral history material
with ex patients as no permission forms had been collected and even with
editing, personal information came through that could potentially  identify
individuals.  I seem to recall that the contemporary images of the hospital
through the project with an artist were carefully checked and images that
showed individuals clearly were not selected also. It was a tricky process
and I did seek advice from the Data Protection Officer within my service at
various times. Obviously we were dealing with medical records but it may
apply to your exhibition.  Perhaps seek legal advice from within your
council.

The Epping Forest District Museum is currently collecting photographs of
daily life at Great Stony School, a residential school for children with
learning difficulties (1939-1994). We are planning to create an
exhibition with this material.

Lots of photographs have come forward, mainly from and made by
ex-staff, who are of course happy for their pictures to be used in a
display. However, it will be impossible to track down the children
pictured to ask for their permission. We are particularly concerned
about this as some children might not want to be identified as ex-pupils
of the school, or would not like to see themselves back either in an
exhibition or on related publicity.

We would appreciate advice on any restrictions we should be aware of,
or if anyone is aware of or has been involved in other exhibitions
dealing with similarly sensitive subjects.
