We asked for tenderers in our recent EDRMS procurement for such a case-study. None could provide one. However, a Council-wide EDRMS is what we are doing. Next year we will be hopefully undertaking a content management strategy to tie that in as well. Our EDRMS project is a 3-year approx £3 million effort.
When we asked prospective tenderers about email archiving, most replied saying they integrated with Outlook/Exchange! Not quite the point. Ealry next year our supplier will make available its API for integrating with our existing Email archive - much heavy-duty thinking will have to happen then.
I'm sure we are not the only Council to want to go enterprise-wide - some that we talked to had point solutions in Planning or Revs and Bens and were hoping to extend those either into other areas or Council-wide. However, we found that process-centric systems (common in those areas) often did not really meet the needs of knowledge workers who are generally more information centric.

I am attempting to locate case studies of organisations (local authorities preferably) which have undergone successful EDRMS/ECM implementations on an organisation-wide scale, and are now able to see the benefits. I am aware that many of the supplier sites have case studies listed on them, but I am really interested to hear from colleagues. Very broadly, I would like to know from anyone who has undergone this type of implementation;
* What size your organisation is.
* Which product/s you have used.
* What aspects of the ECM portfolio you have used them for (i.e. RM, EDM, WCM, etc).
* How long the whole process/project took.
* Roughly, how much it cost.
* What the benefits you have realised are. Can you express them in terms of a financial saving? Has the change been everything it promised?
I am particularly keen to hear from any authority which has included e-mail management in the scope of their implementation, and would be grateful for any specifics on this aspect. It would also be useful to hear from authorities who have come up with other successful solutions to e-mail management, outside of an EDRMS.
I understand that you may not all want to share this with the list, so I am very happy to be contacted off-list.
