We do the following operations during the summer:
1) Upload new curriculum info and create new (unavailable) courses for
the next academic year with a suffix -0607 (e.g. F0786a-0607)
2) We enroll new staff members in the courses they are teaching
3) We automatically copy all courses from this year to the
corresponding course for the next academic year, if its exists (e.g.
F0786a-0506 is copied into F0786a-0607) through an archive restore
operation. All students are unenrolled in the new course.
4) Since course-codes changes from time to time, we cannot always copy
everything automatically. Therefor we created a course copy tool
through which 'local admins' (Blackboard support people in the
faculties) can upload a batch file with source and target course-id's,
which are then also copied (read 'archived-restored').
This usually happens at the beginning of July. From then on, our
instructots have two Blackboard courses for each course they teach,
the current one (active) and an unavailable copy for the next year.
They can already make changes and upload material for the next year,
while the old course is still available for students who have to
retake exams in september.
5) At the end of the academic year we automatically make all courses
from that year unavailable (all courses with suffix -0506).
Instructors can still access those courses as a sort of archive. These
courses will be made unavailable the next year in July just before the
next course copy operation, so that staff members always have at the
most two versions of their courses available.
6) Staff members who want to use a Blackboard course in the new
academic year, make the new course (with -0607 suffix) available.
We are currently supporting 11 institutions, all with different
administrative applications. They cannot all send us their curriculum
info at the beginning of July, some of them only have that information
in September. So we create new courses and copy during the whole
summer, from the beginning of July until the end of September.
